What exactly is a Digital Ministry Review?
We’ll have a look at your current website and email setup based on the public info we can see, and then we’ll record a short screen recording (usually about 20 minutes) walking you through what’s working and what needs to be improved. We tell you what we’d do to make your website and emails work best for you, and we tell you how much it would cost to get us to implement those changes for you. Basically, it’s a video quote, and you can share this with the board, church council, church elders, or whoever else. We’ve found this is the easiest way to help Christian churches and ministries because it’s often hard to get on the phone at particular times.
Do you only work with churches?
We work exclusively with Christian churches, ministries, and organisations in Australia. We share your faith and understand that your website isn’t just a digital brochure — it’s a digital front door for evangelism and community connection.
What size churches or ministries do you typically work with?
We partner with ministries of all sizes! For smaller or newly planted churches, our 1-page “Seed” build is a perfect, budget-friendly starter. For established or growing congregations, our 5-page “Fruit” build provides a comprehensive digital footprint. If you need more than 5 pages, we can easily scale to fit your needs.
What if I’m completely overwhelmed by technology?
Then you are in the right place. You were called to lead people to Jesus, not troubleshoot broken tech. We speak plain English, not “tech jargon.” Our entire 3-step process is designed specifically to take the overwhelm out of your digital ecosystem so you can find digital rest.
Why is an unmaintained church website a risk to our mission?
An outdated or broken website acts as a digital “locked door”. 90% of people will visit a church online before they ever step foot in the building. If your site is slow, broken, or insecure, it unintentionally turns visitors away before they ever get to hear your preaching or meet your people.
We have a willing volunteer who updates our website occasionally. Isn’t that enough?
We love church volunteers! However, relying on DIY approaches or volunteers for core tech often leads to what we call “The Volunteer Trap.” It can cause burnout, relational conflict, and leave your site vulnerable to security blind spots. Our professional stewardship removes that burden from your congregation.
We’re managing our website OK ourselves. Why should we invest in professional stewardship?
Because you were called to shepherd people, not troubleshoot tech. Even if you can manage it, the “CEO” side of the job shouldn’t crowd out the “Shepherd” side. Partnering with us gives you administrative rest and the freedom to focus entirely on the ministry you love. Plus, volunteers come and go, but we never do.
We already have a web host or web developer. Why should we switch to The Web Ministry Team?
Generic web hosts and web developers rent you server space and build sites, but they don’t care about your mission or understand the specific needs of Christian ministries. We understand what you do and don’t need on your website to bring people closer in their relationship with Jesus. Plus, we fully manage your website for you so you can focus on what God called you to do.
How much time will this require from me?
We know a pastor’s week is irregular and your time is precious. We’ve designed our process to require minimal time from you. Most of our communication is asynchronous, and we use recorded video walkthroughs. This means you can review designs and provide feedback whenever it actually suits your schedule. It’ll probably take about 5 hours of your time worst case scenario. Your only “live” requirement is an onboarding call, which is 1-2 hours depending on your needs.
Do we need to write the website content or provide high-quality photos?
You don’t need to write any words for your website because we completely take care of that for you. However, you do need to provide us with photos (generally at least 20 to choose from). These don’t need to be professional photos. You can get someone to stand at the back of the church on Sunday and take a few photos with their phone. We’ll deal with all the technical details like image sizes and image types. Don’t worry though. We’ll guide you through the whole process?
We already use Google Workspace or Microsoft 365 for Nonprofits. Do we still need The Vineyard Setup?
Not at all! If you already have a stable, professional email and calendar environment set up, we simply skip “The Vineyard Setup” (Step 1) and move straight into building your new digital front door or taking over the stewardship of your existing site.
We love our current website design but just want someone to manage the hosting and tech. Can you help?
If you don’t need a rebuild (Step 2), we simply migrate your existing site onto our “Root Plan.” We’ll put it on our secure Australian servers, provide managed hosting, take care of daily backups, and manage your Google Workspace users for you. You’ll still need to make any changes to your website as we can’t make changes to sites we haven’t built.
Can you integrate our website with platforms like Elvanto, Planning Center, or Tithe.ly?
Absolutely. We know that a healthy digital ecosystem requires your tools to talk to each other. We build clean, stable systems where your Giving, Church Management Software (ChMS), and email platforms finally just work seamlessly together.
How do you handle website security and protect our church’s reputation?
Churches are unfortunately active targets for hackers and ransomware. We migrate your site to our secure, high-performance Australian servers. Through our Stewardship Plans, we handle all daily backups, software updates, and security monitoring so you have total peace of mind.
Will we lose ownership of our domain name or website if we work with you?
Never. We manage your domain name (yourchurch.com.au) and your website on your behalf as part of our Stewardship Plans so you never miss an invoice payment and your site never goes offline. You still retain 100% legal ownership of your domain and all your website content.
Isn’t migrating our website and emails to a new provider a painful process?
It can be if you do it yourself! But our 3-step process is designed specifically to take the overwhelm out of the tech. We handle all the heavy lifting behind the scenes. We ensure zero downtime for your website and a seamless transition for your email communications. We also make sure all your emails are transferred across so you don’t lose important data.
What if our previous web designer has disappeared or we don’t have our login details?
This is incredibly common in the church world as volunteers and staff move on. Don’t stress. We’re highly experienced in tracking down domain registrars, regaining access to lost accounts, and untangling messy tech setups. We do it all the time!
How do we give you access to our current website and emails?
During our onboarding process, we guide you step-by-step on how to securely grant us the administrative access we need to migrate your website and stabilise your emails. We use industry-standard security practices to make sure your data is always protected.
What kind of support do we get after the new website is launched?
We don’t just launch your website and disappear. Through our “Branch Plan,” we step in as your long-term digital steward. We provide full monthly care, software updates, security monitoring, and handle your content edits for you. You never have to worry about updating the site yourself again.
How do we request content edits, and how fast are they done?
You can fill out our simple support request form for any website edit requests whenever it suits you. If you’re on “The Branch Plan”, full monthly care and content edits are included so you never have to worry about updating the site yourself again. We aim to complete all requests within 5 business days (but it’s usually faster).
